Privacy notice
This notice explains how your four Lliswerry Ward Matters Independents councillors collect and use your personal information, and the rights you have over it.
Who we are
This website is run by Councillors Mark Howells, Allan Morris, James Peterson and Andrew Sterry, the elected Newport City Council councillors for Lliswerry ward, working together as Lliswerry Ward Matters Independents. When you contact us, we are responsible for your information as data controllers.
For any question about this notice or your information, contact Councillor Mark Howells at mark.howells@newport.gov.uk or on 07359 415596.
What information we collect
- When you contact us through the website, by email, phone, letter, social media or in person: your name, contact details, address or street, and the details of the issue you raise. Sometimes this may include sensitive information, such as health details, if it is relevant to your problem.
- When you sign up for updates: your email address and, if you give it, your street.
- When you visit this website: our hosting provider automatically processes technical information such as your IP address, to deliver the site and keep it secure. We do not use this to identify you.
This website does not use cookies, analytics or tracking tools.
How we use it, and our legal basis
- Helping with your enquiry or casework. We use your information to respond to you and to take up your issue. As elected representatives, we do this as a task carried out in the public interest. Where sensitive information is involved, we rely on the specific provision in the Data Protection Act 2018 for elected representatives acting on behalf of residents.
- Sending you updates. We only send email updates if you have signed up for them, and we rely on your consent. Every email lets you unsubscribe, and you can withdraw your consent at any time by contacting us.
- Keeping residents informed. We may use contact details you have given us to tell you about our work and to support democratic engagement in the ward, as permitted by the Data Protection Act 2018. You can ask us to stop at any time.
Who we share it with
To resolve your issue we may need to pass relevant details to Newport City Council, Gwent Police, a housing association, a utility company or another organisation that can help. We will only share what is needed, and we will discuss it with you first where possible.
Our website and its forms are hosted by Netlify, Inc., which processes information on our behalf. Netlify is based in the United States, and any transfer is protected by safeguards approved under UK data protection law.
We never sell your information or share it for anyone else's marketing.
How long we keep it
- Casework and enquiries: for as long as we need to deal with your issue, and no longer than the end of our current term of office, after which it is securely deleted.
- Email updates: until you unsubscribe or ask us to remove you.
- Website form messages: deleted from our hosting provider within 12 months.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to withdraw your consent at any time. To use any of these rights, contact Councillor Mark Howells using the details above. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
